Inventory Management

Purpose

Inventory Management provides a comprehensive view of your product stock levels across all products and variations. Monitor stock quantities, identify low stock and out-of-stock items, track held inventory in customer carts, and manage your inventory efficiently from one central location.

Overview Cards

Inventory Management

The top section displays key inventory metrics:

Products

  • Format: Number
  • Purpose: Total count of products with inventory tracking enabled

Variations

  • Format: Number
  • Purpose: Total count of product variations with inventory tracking enabled

Out of Stock (P)

  • Format: Number (red)
  • Purpose: Products with zero or negative quantity
  • (P) indicates Products

Out of Stock (V)

  • Format: Number (red)
  • Purpose: Variations with zero or negative quantity
  • (V) indicates Variations

Low Stock (P)

  • Format: Number (orange/warning)
  • Purpose: Products with quantity below their low stock threshold

Low Stock (V)

  • Format: Number (orange/warning)
  • Purpose: Variations with quantity below their low stock threshold

Held Stock

  • Format: Number (orange)
  • Purpose: Total quantity of items currently held in customer carts

View Toggle

Choose how to display your inventory:

Products Only

  • Shows only parent products
  • Aggregates variation data where applicable
  • Cleaner view for stores with many variations
  • Hides the Variant column

Show Variants

  • Shows all product variations as separate rows
  • Displays variant details (attributes like Size, Color)
  • More detailed view for managing specific SKUs

List View

The table displays inventory data with the following columns:

Table Columns

Product

  • Format: Product name (clickable)
  • Purpose: Identifies the product
  • Action: Click to edit the product

SKU

  • Format: Text
  • Purpose: Stock Keeping Unit identifier
  • Toggleable: Yes

Type

  • Format: Badge
  • Purpose: Indicates if row is a Product or Variant
  • Colors:
  • Primary (Blue): Product
  • Info (Light Blue): Variant
  • Toggleable: Yes

Variant

  • Format: Text (attribute values)
  • Purpose: Shows variation details (e.g., "Red / Large")
  • Visibility: Only shown in "Show Variants" mode
  • Toggleable: Yes

Category

  • Format: Category name
  • Purpose: Product's category
  • Sortable: Yes
  • Toggleable: Yes

Quantity

  • Format: Number
  • Purpose: Current stock quantity
  • Sortable: Yes

Held

  • Format: Number
  • Purpose: Quantity held in customer carts
  • Color: Warning (orange) when > 0
  • Action: Click to view carts holding this item
  • Sortable: Yes
  • Toggleable: Yes

Available

  • Format: Number
  • Purpose: Quantity available for sale (Quantity - Held)
  • Sortable: Yes
  • Toggleable: Yes

Status

  • Format: Colored badge
  • Purpose: Stock status indicator
  • Colors:
  • Red (Danger): Out of Stock
  • Orange (Warning): Low Stock
  • Green (Success): In Stock
  • Sortable: Yes (sorts by quantity)

Tracking

  • Format: Boolean icon
  • Purpose: Whether inventory tracking is enabled
  • Toggleable: Yes (hidden by default)

Filtering

The list includes powerful filtering options:

Product Filter

  • Type: Multi-select searchable dropdown
  • Purpose: Filter by specific products
  • Preloaded: Yes

Category Filter

  • Type: Multi-select searchable dropdown
  • Purpose: Filter by product category
  • Preloaded: Yes

Stock Status Filter

  • Type: Single select dropdown
  • Options:
  • In Stock
  • Low Stock
  • Out of Stock
  • Purpose: Quickly find items by stock status

Has Held Stock Filter

  • Type: Toggle/checkbox
  • Purpose: Show only items with stock held in carts

Held Stock Feature

When customers add items to their cart, those items may be "held" (reserved) depending on user settings. This prevents overselling.

How It Works

  1. Users with "Holds Stock" enabled reserve items in their cart
  2. Held quantity reduces available stock for other customers
  3. Held items are released when:
  4. The cart expires
  5. The user removes items
  6. The order is completed

Viewing Held Items

  1. Look at the Held column for values > 0
  2. Click the held quantity (if > 0)
  3. Opens Carts page filtered to show carts holding that item

Sorting

Click column headers to sort the table:

  • Category: Alphabetically by category name
  • Quantity: By stock quantity
  • Held: By held quantity
  • Available: By available quantity
  • Status: By quantity (groups stock status)

Use Cases

Stock Replenishment

  1. Filter by "Low Stock" or "Out of Stock"
  2. Review products needing restocking
  3. Click product names to update quantities
  4. Track improvement with overview cards

Managing Held Inventory

  1. Toggle "Has Held Stock" filter
  2. View items currently in customer carts
  3. Click held quantity to see which carts
  4. Manage cart expiration if needed

Daily Inventory Check

  1. Review overview cards for quick status
  2. Note any increases in out-of-stock items
  3. Use "Low Stock" filter to identify issues early
  4. Switch between Products Only and Variants views as needed

Variant-Level Management

  1. Click "Show Variants" toggle
  2. Filter by specific product
  3. Review stock levels for each variation
  4. Identify which variants need attention
